The Role:

IonQ is seeking a Senior Executive Assistant with the business acumen and professional maturity to support members of our executive Leadership team. This role is deeply integrated into the day-to-day operations of IonQ’s leadership, requiring a partner who can handle traditional administrative support while providing substantive engagement across the organization. The ideal candidate acts as a force multiplier, ensuring our executives remain focused on high-level strategy by managing the complexities of their schedules, communications, and special projects.


Responsibilities:

  • Executive Support: Provide comprehensive support, including complex calendar management, meeting logistics (space preparation, catering, and technology setup), travel coordination, and expense reporting.
  • Inbox & Communication Management: Manage executive inboxes by triaging emails, responding as a proxy where appropriate, distilling information for efficient review, and prioritizing urgent communications.
  • Proactive Scheduling: Independently schedule meetings based on an evolving understanding of business priorities, project milestones, and emergent requests.
  • Meeting Lifecycle Management: Attend key meetings to record minutes, track action items, and ensure information is distributed to relevant stakeholders.
  • Budgetary Partnership: Collaborate with Finance (FP&A) to organize budget requests, facilitate review meetings, and manage follow-up items to ensure departmental financial goals are met.
  • Project & Program Management: Lead inter- and intra-departmental projects, developing action plans, maintaining project trackers, and holding stakeholders accountable for timely completion.
  • Travel Coordination: Arrange intricate domestic and international travel, including multi-leg itineraries, accommodations, ground transport, and necessary visa/entry documentation.
  • Expense & Documentation: Independently organize and submit precise expense reports, managing all receipt collection and fact-gathering required for reimbursement.
  • Strategic Triage: Evaluate requests for the executive’s time, determining which to delegate, decline, or prioritize. Conduct preliminary discovery meetings to assess the necessity of executive involvement.
  • Ad Hoc Support: Execute special assignments and administrative tasks as needed to support the office of the executive.


Requirements:

  • 8+ years of administrative support experience, with at least 5 years specifically supporting C-suite or VP-level executives.
  • Tech Sector Experience: Proven track record of managing executive operations within a fast-paced technology environment, including substantive inbox management.
  • Business Acumen: Sufficient professional knowledge to understand industry terminology, work methods, and basic budgeting/reporting processes.
  • High Judgment: Demonstrated ability to make independent decisions regarding the executive’s priorities, communications, and approvals.
  • Travel Expertise: 3+ years of experience managing complex international and domestic logistics.
  • Stakeholder Management: Experience successfully balancing the needs of multiple executive stakeholders and navigating overlapping priorities.
  • Technical Tools: Advanced proficiency in Google Workspace (Gmail, Sheets, Slides, Docs).


Preferred Qualifications:

  • 12+ years of total administrative experience, emphasizing long-term partnership with senior leadership.
  • Specialized Knowledge: A background or education in a technical field (Hardware, Software) or Finance is highly beneficial.
  • PM Certification: Formal project management experience or certification.


The approximate base salary range for this position is $97,123 - $126,652. The total compensation package includes base, bonus, equity, and a range of benefit options found on our career site.

Compensation will vary based on individual factors such as education, qualifications, and experience of the final candidate(s), specific office location, and calibration against relevant market data and internal team equity. Posted base salary figures are subject to change as new market data becomes available. IonQ's HQ is located in College Park, Maryland, just outside of Washington DC. We are actively building out our recently opened manufacturing and production facility in Bothell, WA (near Seattle). Depending on the position, you may be required to be near one of our offices in College Park, Seattle, Toronto, Canada, and Basel, Switzerland.
