JOB SUMMARY

The HR Operations & Talent Acquisition Operations Specialist is responsible for ensuring accuracy, compliance, and efficiency across core People Operations processes. This role manages Workday data integrity, supports onboarding and off-boarding activities, oversees benefits administration for India, and partners with Payroll, HR, and TA teams to maintain seamless employee lifecycle operations

Key responsibilities include maintaining high-quality HR data, validating payroll inputs, coordinating timely benefits renewals and vendor payments, managing employee system entries and exits, and ensuring consistent compliance with company policies and local regulations in both India and the U.S. The role also supports TA analytics and reporting through tools such as Workday and Ashby, providing actionable insights to business leaders and maintaining accurate organizational information.

This position requires strong systems expertise, exceptional attention to detail, and a curiosity-driven approach — proactively investigating data discrepancies, identifying process improvements, and implementing solutions that enhance accuracy, efficiency, and the overall employee experience. The role requires close collaboration with global HR, TA, Payroll, Finance, and Legal teams to ensure seamless operations, data accuracy, and compliance across regions.

RESPONSIBILITIES

Workday & HR Data Management

  • Maintain, audit, and update employee data and organizational structures in Workday.

  • Manage organizational chart accuracy and ensure timely updates during team or structure changes.

  • Partner with business leaders to ensure accurate AOP requisition management and headcount alignment.

  • Support TA and HR analytics through data extraction, cleansing, and reporting, and provide regular report outs and insights to business leaders to inform workforce planning and operational decisions.

  • Conduct regular audits of employee data in Workday to ensure accuracy, completeness, and compliance with company policies and regulatory requirements.

Operations

  • Oversee the Day 1 new hire onboarding process, ensuring smooth coordination across HR, IT, and hiring managers.

  • Take ownership of the end-to-end new hire experience, ensuring a seamless, welcoming, and consistent journey from offer acceptance to onboarding completion.

  • Support off-boarding processes by coordinating timely and compliant exits for departing employees, including:

    • Initiating and managing system exits in Workday and related platforms.

    • Sending off-boarding communications covering benefits continuation, return of company assets, and next steps.

    • Facilitating required signatures on separation and compliance documents.

    • Partnering with HR, Payroll, and Legal teams to ensure accurate and timely final pay processing.

  • Partner with other operations and hiring teams to continuously improve onboarding touchpoints, documentation, and communication.

  • Leverage Ashby (or other ATS tools) to pull hiring data, generate reports, and provide insights to leaders.

  • Coordinate TA data reporting and dashboards for business reviews and workforce planning.

  • Validate payroll inputs (e.g., new hires, terminations, salary changes, benefits deductions) to ensure accurate data transfer from Workday to payroll systems.

  • Perform regular audits of employee data to identify discrepancies or missing information that could impact payroll accuracy.

  • Partner closely with the Payroll and Finance teams to ensure timely, compliant, and error-free payroll processing.

  • Support post-payroll review and reconciliation to confirm successful completion and documentation of each cycle.

Benefits Administration (India)

  • Oversee benefits program administration for India employees, ensuring timely renewals and accurate coverage across all plans (e.g., health, life, accident insurance).

  • Partner with vendors, carriers, and brokers to manage benefits enrollments and employee queries.

  • Ensure system accuracy between Workday and vendor platforms for eligibility and coverage data.

  • Coordinate timely benefits payments to vendors and carriers, partnering with Finance and HR to ensure accuracy and continuity of coverage.

  • Support benefits reporting, audits, and data validation to maintain compliance and employee satisfaction.

Jira & Ticketing Management

  • Respond to and resolve global Jira tickets for employee queries.

  • Track ticket trends and collaborate with stakeholders to improve turnaround times and process efficiency.

Regulatory & Policy Support

  • Partner with HR and Legal to ensure compliance with local labor laws in India and the US.

  • Contribute to the maintenance and review of employee handbooks and compliance documentation.

  • Support data collection and documentation for regulatory audits or internal policy reviews.

  • Ensure compliance with the POSH Act, 2013 and related company policies across all locations and business units. In partnership with Talent Management and HRBPs, duties may include:

    • Coordination of Internal Committee (IC) activities, including appointment of members, scheduling meetings, and maintaining confidential records of complaints and proceedings.

    • Assist in the investigation process by facilitating documentation, ensuring adherence to prescribed timelines, and maintaining neutrality and sensitivity throughout.

    • Support POSH awareness initiatives by organizing periodic training sessions, workshops, and e-learning modules for employees and IC members.

    • Maintain accurate records and reports, including annual compliance reports, training logs, and IC meeting minutes, ensuring timely submission to relevant authorities.

    • Draft and update POSH policies in alignment with legal updates and organizational changes.

    • Act as a point of contact for employee queries related to POSH and workplace conduct.

  • Collaborate with legal and compliance teams to ensure periodic audits and adherence to statutory requirements.

  • Promote a culture of respect and inclusion through proactive engagement and communication initiatives.

RFP & Business Support

  • Support company RFP responses by providing accurate data (e.g., EEOC or compliance information).

  • Liaise with cross-functional teams to compile operational inputs required for client or vendor submissions.

REQUIRED EXPERIENCE

  • 5+ years of experience in HR Operations, TA Operations, or broader People Operations roles, ideally supporting both India and global teams.

  • Naturally curious and proactive: when something doesn’t look right, you investigate; when a process can be improved, you propose solutions and take initiative to make it better.

  • Hands-on experience with Workday HCM, including data management, reporting, organizational changes, and employee lifecycle transactions.

  • Strong data management and auditing skills, with the ability to ensure

  • accuracy and compliance across HR, payroll, and benefits systems.

  • Experience supporting payroll operations through validation of inputs, audits, and coordination with payroll teams for accurate processing.

  • Familiarity with benefits administration in India, including vendor coordination, renewals, and ensuring system and coverage accuracy.

  • Solid understanding of onboarding and off-boarding processes, including systems, documentation, and compliance steps.

  • Proficiency in Excel/Google Sheets and comfort working with large data sets for reporting and analysis.

  • Excellent attention to detail, organizational skills, and ability to manage multiple operational priorities.

  • Strong written and verbal communication skills, with experience preparing or delivering reports and updates to business leaders.

  • Awareness of employment regulations and compliance requirements for both India and the U.S.

  • Interest in HR technology, process automation, and continuous improvement.

PREFERRED EXPERIENCE

  • Experience using Ashby ATS or similar recruiting systems (e.g., Greenhouse, Lever).

  • Familiarity with Jira or other ticketing/workflow systems.

  • Exposure to RFP support, vendor due diligence, or responding to compliance questionnaires.

  • Experience working directly with benefits vendors, carriers, and brokers in India or globally.
