Job Title: Chief of Staff – Pune Site (Cross-Functional Operations)

Our Pune site is a key engineering and innovation hub delivering world-class R&D and product development in Government Technology. The Site Leader drives technical breakthroughs, while the Chief of Staff ensures seamless cross-functional operations, empowering engineering leadership to excel.

Role Overview

As Chief of Staff, you will lead and coordinate non-engineering operations—including HR, Finance, IT, Travel logistics and Business Operations—enabling the Site Leader to focus on engineering strategy and delivery. You will serve as a strategic partner, aligning cross-functional programs with the site’s objectives, and providing occasional engineering program support when needed.

Core Responsibilities

Operations & Program Management

  • Own planning and execution of HR, Finance, IT, and vendor-related initiatives across the Pune site.

  • Coordinate facility management, budget tracking, vendor relations, travel planning, and local procurement.

  • Develop integrated cross-functional roadmaps that align with engineering goals.

Stakeholder Engagement & Communication

  • Serve as liaison between the Site Leader, department heads, and global teams.

  • Prepare dashboards, executive summaries, and data-driven presentations for senior leadership.

  • Facilitate leadership team and cross-functional committee meetings: set agendas, coordinate materials, capture action items, and drive follow-through.

Performance & Process Optimization

  • Identify and resolve process bottlenecks; design and implement scalable improvements.

  • Monitor key KPIs (e.g., budget adherence, office hiring metrics) and translate data into actionable insights.

  • Collaborate with Finance on budget planning, forecasting, and variance analysis.

  • Engineering Support (as needed)

  • Provide project management support for critical engineering programs.

  • Escalate non-engineering issues to appropriate functional teams.

Culture & Events

  • Partner with HR to plan headcount and talent pipeline strategies.

  • Organize major site events, including town halls and leadership off-sites.

  • Build relationships with senior internal and external stakeholders.

What You’ll Bring

Required Qualifications:

  • Bachelor’s or Master’s degree in Business, Engineering, or a related field.

  • 8+ years of experience in operations, program management, or consulting across multiple functions.

  • Proven ability to lead cross-functional programs in a fast-paced, high-growth environment.

  • Exceptional verbal and written communication skills.

  • Strong analytical and organizational skills; proficiency with Excel, AI tools, and BI/data visualization platforms.

  • Demonstrated success in delivering process improvements and business impact.

Preferred Qualifications:

  • Experience in a SaaS or technology R&D setting, supporting engineering teams.

  • Certifications in Lean, Six Sigma, or PMP.

  • Track record of building and managing KPI dashboards.

  • Experience working with global teams and matrixed organizations.
