We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our leadership team. This is a great opportunity for someone with 5+ years of experience who thrives in a fast-paced environment and is passionate about providing high-quality administrative and operational support.
Role Responsibilities
- Manage and coordinate complex calendars, meetings, and travel arrangements;
- Prepare agendas, presentations, reports, and meeting notes as needed;
- Serve as a liaison between the executive and internal/external stakeholders;
- Track key deadlines, deliverables, and follow-ups to ensure smooth execution of projects;
- Manage confidential information with discretion and professionalism;
- Coordinate logistics for events, team meetings, and company-wide communications;
- Support with expense reporting and procurement processes;
- Identify and implement process improvements to increase efficiency.
Role Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field;
- 5+ years of experience in executive-level administrative support;
- Exceptional organizational and time-management skills;
- Strong written and verbal communication skills;
- High level of discretion and confidentiality;
- Proficiency with Microsoft Office Suite, Google Workspace, and calendar tools;
- Ability to work independently, prioritize tasks, and adapt to changing needs;
- Experience supporting multiple executives or working in multinational environments;
- Well versed with expense systems (e.g., Concur);
- Fluency in English, Chinese (native-level) and Portuguese (native-level).
